Asana Introduces Automation With Customizable Rules to Alleviate Busywork
Asana’s automation features help reduce busywork by enabling users to create rules for repetitive tasks. This allows staff to dedicate their attention to higher-value tasks, with the potential to increase both productivity and job satisfaction.
Users can use “out of the box” rules or build custom rules to meet the needs of the organization. Asana advertises the following five use cases for rules:
- Move Tasks: Automatically direct new tasks to a central project or to various specialized projects. From there, stay organized by keeping track of progress on task completion.
- Assign Work: Automatically delegate tasks to individual team members based on the type of work or parent project.
- Show Project Changes: Provide visibility to stakeholders by automatically notifying individuals when due dates or custom field status changes.
- Change Due Dates: Automatically push due dates after new tasks are assigned.
- Hand off Work: Automatically alert project members when work is ready for their review or next step.
With the ability to either customize rules or select from a library of pre-existing rules, Asana is reaching for better adoption by reducing the administrative burden for users.

Our Take
Whether your organization is looking to enforce processes or free-up resources, automation can serve as a great addition to a commercial project management (PM) tool. The objective is not to reduce staff on the project team but to keep doing actual project work rather than fiddling with the tool. Successful adoption should result in driving accountability to the necessary individuals.
